AI assistant supporting one-stop units and public administration service centers
Are you facing these problems?
Many procedures, changing regulations
Officers must remember and keep up to date with hundreds of procedures, dossier components and legal bases.
Citizens ask the same questions repeatedly
The same content is asked about many times at the counter and by phone.
Incomplete dossiers
Citizens make repeated trips because they have not grasped the full guidance.
Officers rotate and experience is lost
Know-how sits in each person's head and is hard to hand over.
Four concrete scenarios
Each scenario comes with an example question and the result you get.
Professional assistant for one-stop officers
Look up regulations, suggest dossier component lists and draft notices; officers review and are responsible.
Officer asks: "What does this procedure's dossier consist of?" → gets the list with legal bases to cross-check.
Answering public procedure questions
Answers the sequence, deadlines and where to submit, based on public information approved by the agency, outside working hours.
A citizen asks about the sequence and dossier components → the assistant answers with sources and tells them to contact an officer when it is beyond scope.
Professional knowledge base
Digitize processes, public guides and common situations into a linked wiki.
New officers look up similar situations and the way the agency has agreed to handle them.
Reports for leadership
Compile figures from the sources the agency allows so leaders can see the situation.
Leadership asks for the situation by area → a report with data sources attached.
What to include, and what to consider

For public administration service centers
Does the AI decide how a case is resolved?
No. AI results are for reference and support only; decisions belong to the competent officer or agency, in line with Decision 29/2026/QD-TTg on applying AI on the National Public Service Portal.
Can confidential documents be put into the system?
No. Under the 2018 Law on Protection of State Secrets, state secrets must not be put on the internet or public AI platforms. We do not process this type of data.
Does the system have an information security certification?
Not yet. Determining the information system security level is the responsibility of the system owner under Decree 85/2016/ND-CP; we provide technical information for that process.
Can it connect to one-stop software or the Public Service Portal?
Connectivity depends on the interface and rules of each system; it is assessed separately during the survey phase, with no commitment in advance.
